Administrative Assistant II - Advancement


This position is responsible for a wide range of administrative tasks in support of the extended senior management team of Advancement, including, but not limited to, the Advancement Services and Operations Team and the Development Team, as directed by the Assistant to the Vice President for Advancement. The dynamic nature of this work environment requires that the ideal candidate have exemplary time management skills, be comfortable under deadlines, proficient in all Microsoft Office products, able to work in a customer database, superior proofreading skills for all correspondence and the ability to identify and anticipate highly varied development officer needs. To perform this job successfully an individual must be able to confidentially handle highly sensitive financial, personnel and institutional information while exercising professional discretion.


Key Responsibilities:


  • Performs routine administrative tasks with minimal supervision, i.e. scans documents for meeting preparation, maintains sensitive files, order supplies, answers and directs incoming phone calls from donors as appropriate, maintains calendars, enters contact reports and related information into the central database, schedules meeting, arranges travels, processes all travel expense reports and expenditures for reimbursement).
  • Facilitate and coordinate meetings and events that include internal as well as external participants, often VIPS. Make travel arrangements for guests/candidates, secures lodging, prepare agendas and ground transportation. Arrange for catering and work with the facilities department and multi-media group to setup the rooms.
  • Acquire travel request authorization (TRA) numbers, schedules domestic and international travel for the Advancement Staff, completing detailed meeting and travel itineraries. Monitor and submit travel and expense reports in a timely manner.
  • Manage team member’s schedules for meetings and conferences and make necessary adjustments based on constantly changing priorities and scheduling conflicts.
  • This position will provide support to the Vice President for Advancement’s Executive Assistant, and to the Development Team.
  • Identifies departmental needs and challenges and implements approved solutions.




  • High School diploma and knowledge of administrative processes as would typically be acquired through 3 - 5 years of work in a senior management support environment.
  • 3+ years of experience with Raiser’s Edge and/or fundraising database(s) and project management software.
  • Experience with Salesforce.
  • Able to multi-task on a variety of assignments while remaining focused and professional. Needs to be flexible and adaptable in dealing with changing priorities and tasks.
  • Must be self-motivated and have the ability to exercise initiative, work independently and as part of a team.
  • Excellent organizational skills and demonstrated ability to manage details accurately.
  • Strong interpersonal skills to work in a high-profile environment requiring discretion, judgment, tact, diplomacy.
  • Detail oriented with exemplary time management and follow-up skills.
  • Superior computer skills in Microsoft Office software including Outlook, Word, Excel and PowerPoint.
  • Ability to maintain a positive, customer service oriented outlook.
  • Ability to travel and work evenings and weekends as needed.
